How to Make Excel Read Back Your Data in Excel 2007

One relatively unknown feature of Excel is the ability to let it read values in a worksheet back to you. If you have a large amount of data to enter, especially numbers, this can be an incredibly useful feature that will help to ensure the accuracy of the data that was entered while you match it against a hard copy. To accomplish this, you will have to specify the data you want to read, click a button, and Excel will begin read it, it’s that simple. You can choose to have Excel read across the first row and then move to the next row, or down the first column and then move to the next column. You can also have Excel read the data as you enter it. Pretty neat stuff!

However, before Excel can read your data, you must add the following buttons to the Quick Access toolbar: Speak Cells, Speak Cells — Stop Speaking Cells, Speak Cells by Columns, Speak Cells by Rows, and Speak Cells on Enter. How to Read a Group of Cells

  1. Select all the cells that you want Excel to read.
  2. Click Speak by Columns if you want Excel to read down the columns.
  3. Click Speak by Rows if you want Excel to read across the rows.
  4. Click the Speak Cells button. Excel will then read the selected cells.
  5. To stop Excel from reading the cells, click the Speak Cells — Stop Speaking Cells button.

How to Read Cells upon Data Entry

  1. Click the Speak on Enter button. Excel will say, “Cells will now be spoken on Enter.”
  2. Enter your data as normal and Excel will read the data as it is entered.
  3. To turn it off, click the Speak on Enter button once more and Excel should say, “Turn off Speak on Enter.”

Before you can make Excel read your worksheet, you, of course, must must have speakers attached to your computer and all the appropriate drivers must be installed properly. In Windows XP, click the Start button, Settings, and then Control Panel to check your audio device settings.

    Hi

    some feed back on this Excel speak on enter. I am in Australia, one of the many places in the world that does not use the same date format ad the USA. We use dd/mm/yy. The problem is that the Speech to text feature in Excel 2007 gets mixed up .For instance if the date is 4/2/08 it says ” Second of April 2008″ however if the date is 24/2/08 it says ” 24th of February 2008″ !!! My systems are all set to use date format to suit Australia. I will be letting MSoft know
