Customize the Excel 2007 Quick Access Toolbar

One way to speed up your Excel usage is by using the Excel Quick Access toolbar. Your most frequently used features can be added to the Excel Quick Access toolbar allowing you to access certain commands with a single click. By Right-clicking a Ribbon command, you can add it to the Quick Access toolbar quickly and easily. Also, you can add features that are not in the Ribbon to the Quick Access toolbar by accessing the Customize Quick Access Toolbar screen and selecting the specific commands you’d like to add. Excel will divide the commands into categories to make it easier for you to find the feature you want. You can specify whether the command should appear on the toolbar of all Excel workbooks or only on the Quick Access toolbar in the workbook you specify. The Quick Access toolbar can also appear above or below the Ribbon.

How to add features to Quick Access Toolbar

  1. On the Microsoft Excel 2007 title bar, click the Customize Quick Access Toolbar button.Customize the Excel 2007 Quick Access Toolbar
  2. Select More Commands. The Excel Options dialog box should open to show the Customize the Quick Access Toolbar screen.
  3. You can now use the drop down at the top of the dialog box that says “Choose commands from:” to select Commands that cannot be found in the Ribbon.
  4. After selecting the command you’d like to add, click the Add button. The item will move to the list box on the right.
  5. You can also Select the scope of the addition by using the drop down box at the top right.
  6. Click Ok. Excel will place the feature’s icon on the Quick Access toolbar. Click the icon to use it.
  7. To move the toolbar below the ribbon, Right-click the added option and then click on Show Quick Access Toolbar Below the Ribbon.

You should review all of the options listed under Commands Not in the Ribbon especially if you have experience using older versions of Excel. If certain commands from previous versions are not in the Ribbon, chances are you will find them listed under Commands Not in the Ribbon. To restore the Quick Access toolbar to the default setting by clicking the Reset button in the Customize the Quick Access Toolbar dialog box.
